To provide PMO Analyst is required to support one or more Programmes / Projects, ensuring the programme / projects adhere to all Change Delivery Control Standards (SICM). This includes supporting reporting, governance and control, meetings/presentation packs and Financials.
What will you be doing?
Status reporting:
Support the weekly reporting process, chasing project managers as required to ensure the timely submission of reports to management team.
Escalating late delivery or non-compliance to formats
Do first pass review for issues or errors with returned reports
Provide support for queries on the process or tools
Reviewing and challenging reports provided for adherence to standards, completeness and reasonableness

Governance and transparency:
Take actions and minutes at some internal project meetings incl. Monthly Programme Forum
Assist in the production of some parts of the Project/Programme Forum papers, Programme Board agendas and other reporting activities
Ensuring day to day Governance activities are completed within agreed timelines.

Risk, Assumption, Issue and Dependency (RAIDs) management:
Review RAIDS logs to check for completeness and compliance with actions overdue escalating to PM/senior PMO if any concerns
Identify issues or risks to the PM / PMO Manager if appropriate

Resource management:
Helping to maintain the resource logs
Checking completeness on time recording in timesheets and chasing if not
Providing details of Time bookings to PM and wider interested parties to permit tracking and reconciliation

Financial management:
Support PM or PMO Lead with financial management activities including understanding variances and providing commentary.
Some regular monthly tasks for preparing financial reports

Hiring:
Support HM with open roles, right from raising the role on tool till resource on-boarding

Planning:
Support the creation of initiative plans under the instruction of the PM or PMO Manager.

Execution Risk Standards:
Support the PM or PMO Manager to ensure adherence of the initiative to Execution Risk Governance Standards and the Change Delivery Control Standards, and ensure that the appropriate change management tools (e.g. Navigator, Agile Central) are up to date with current and accurate record of Project Status, RAIDS, Resource details etc.
Assist with reviews of compliance to standards as instructed by the Project Manager or PMO Manager.

Logistics and other:

Support with meeting scheduling, room booking, scheduling of complex meetings, taking minutes for Programme Meetings and other governance activities
Support with the set up maintenance and review of the project library (may include SharePoint site administration)
Assist with the maintenance of the Project’s stakeholder map. Updating as instructed by the PM or PMO Manager.

What we’re looking for:
Excellent communication skills – interpersonal and presentation skills
Good understanding of project lifecycle, Project Management and PMO methodologies and tools.
Ability to evolve strong working relationships with peers and stakeholders
Influencing skills – able to influence programme and project leads to ensure the best outcome for all whilst keeping aligned to strategic plans
Excellent knowledge of Microsoft applications, specifically Excel and PowerPoint
Manages time well to meet competing priorities and performs well under pressure, including reporting hot spots at month end and external reporting periods
Attention to detail in the production of data packs for decision makers, whilst not losing sight of the ‘big picture’ and having consideration to the seniority / subject matter expertise of the target audience

Skills that will help you in the role:
Experience of working in a project environment or in a similar role
Awareness and a working knowledge of Barclays Change Framework
Strong analytical and literacy
Preferred knowledge of Navigator, a project portfolio management tool
