About the Position
The Fort Worth Botanic Garden | Botanical Research Institute of Texas (FWBG|BRIT) seeks a Part-Time Accounts Payable Coordinator to ensure the timely payment of all bills that the organization receives. The Accounts Payable Coordinator will workclosely with our Finance team to enter billing information into the company accounting database and ensure that all financial records are complete and accurate. There will be interaction with other staff members in other departments to help ensure the bills have been coded appropriately. The qualified candidate should have prior experience with Excel and bookkeeping software.
Primary Responsibilities
The Accounts Payable Coordinator will be responsible for:

Use bookkeeping software (NetSuite) for entering information into company files or databases, ensuring that all financial records are complete and accurate.
Processing purchase orders, establishing vendor accounts, weekly accounts payable entry, check distribution and digitization.
Review and analyze incoming invoices and expenses ensuring accuracy of coding and costs.
Work with staff to obtain approvals for every invoice and/or expense report submitted.
Manage and create credit memos and refunds.
Assist in monthly report preparation for the organization.
Assist in annual preparation for 1099s: this includes obtaining completed W9’s and maintaining accurate records within the accounting system.
Assist with maintaining vendor, corporate, legal, and contract files in electronic and paper format.
Assist the Gift Shops with inventory management within the accounting system.

Required Education & Experience
An Associates degree is preferred along with previous experience in accounting and administration.
